Subscribe Partner Users to Lightning Report

Hello! I am trying to subscribe partner community users to an emailed report. I have the Allow Community Users to Receive Reports and Dashboards by Email marked in Reports and Dashboards email settings.

I have shared the Report Folder with the user itself and the Public Group I created that includes all three partner users. I have logged in as the user and can see they can access and view the report. I can only subscribe full Salesforce license users to the report OR a public group; hence the reason I created the public group. I have myself and the Public Group subscribed to the report to email every Monday. However, when the email goes out, it still does not include them. What am I missing?

Hi Shay,

Unfortunately, The dashboard subscription is only available for internal users. The "Allow Community Users to Receive Reports and Dashboards by Email" option is to allow community users to receive "refresh" notification.

Feel free to submit an idea in order to request to add external users in this functionality.

Hey Jayson! Thanks for the reply! I thought that a Public Group would do the trick for partner community users. I found these resources that seem to indicate otherwise?

Let me know if you have documentation saying this has changed... perhaps it has since I am not finding success?

Hi Shay, we are encountering this exact problem and have set it up in the same way you had (public groups), but no success.  Did you ever find a solution for this?

Hi Colleen, unforunately I was not able to do this in native Salesforce. I subscribed myself and a few other full license users then I set up a rule in outlook to forward the report to the partner community folks. Not ideal, but it does get the job done! Let me know if you discover anything else on your end!

I've been meaning to come back to this to update, we raised a case with Salesforce and they have resolved the Dashboard scheduling - we now have the option to add the Partner User to the subscription (which we did not have previously).  Salesforce have not advised what they did to resolve this, but there was a lot of to and fro with their support team and our tech team.

We now have the issue where we can schedule a report to a Partner User in Lightning, but not run the report as the Partner User (so that is not suitable), or we can run the report in Classic as the Partner User, but then cannot choose them as the recipient.  Salesforce have closed the case so we have to raise a new case for the report scheduling.

I've raised a Case with SF tech support also, but they don't seem to be able to do what they could do for you.  Would you mind sharing your Case number so I can point my tech support person to it?

Here are the details: Case #23881289.  Note that you have to give the specific Partner User access to the report / dashboard (if you have that option), adding the public group they are in is not enough.

Thanks for the Case number.  I don't have the ability to add Partner Users directly.  Only Users, Roles, and Public Groups.  Can you add Partner Users directly?  If you can, that suggests that I have a setting wrong.

We didn't originally, Salesforce had to fix it for us through the case which fixed the dashboard scheduling.  Now we just need to get the report schedule working....

Update: I just went through a help request on this and they told me this feature has not yet been added to Lightning - if you want to subscribe a partern user you can only do so through Classic.
