Can't seem to schedule a report to be emailed to others?

I think I'm having a "brunette moment", but I can't seem to schedule a report, no matter which folder I save it in to be emailed to others.  When I select the option To me and/or others no option comes up to select who.  What am I doing wrong?  I know its been a while since I've done this, but I remember when I selected that another box used to appear.  I know its something simple I think my brain isn't functioning today or something.

Thank you Steve!  As an FYI the issue was that I was using Chrome.  Apparently others have had this issue.  When I did it in IE or Firefox it worked.  I'm also having some other issues with Chrome this week.  I set up a similar report 2 weeks ago in Chrome and it worked.  Its so strange!  I appreciate you answering my question though and sorry for not responding.  Somehow my emails got turned off for the answers community have to figure out how to turn them back on.

Do you have Folder Sharing enabled?  What are the Sharing Settings of the Folder the Report is being saved in?

Here's what I've found, but I can't remember which one solved it when it happened to me (I'm having a "Gray Moment") 

Why can't I select individual users when scheduling a report?

I want to schedule a report and email to individual users, however the users do not appear.



Resolution
If the report folder is restricted (to groups or roles), individual users can't be added, however, groups or roles can be added to scheduling.

For sending to an individual user or users, here are work arounds:

1. Change the report folder security to "This folder is accessible by all users, including portal users".  Then create the report schedule and change the report folder back to it's original setting.

2. Save the report in the Folder "Unfiled Public Reports", then schedule it and save it back to its original folder.

3. Create a new Public Group with the users you want to email the report to. Share the report folder to this Public Group and then select that group in the report schedule.

Why cannot I find the name of the user on the list of recipients for my schedule?

The users to be added to the emailing listing need to be added as specific users that have access to the folder the report is in. If you are not able to add an individual User when trying to Email a Scheduled Report, it is likely due to the Report Folder accessibility.

In order to select individual Users, the Report Folder must be set as "This folder is accessible by all users"
If the folder access is set to "This folder is accessible only by the following users", then only roles or groups that have access to the folder can be selected.
E.g. : If the report is made available to Role: Manager, then you will only be able to email the report to all users in the Role: Manager.




Resolution
In order to workaround this issue, it is possible to:

1) Create a public group (setup > manage users > public groups) with the individual users added.  Then, add the public group to the folder.   The public group will become available as a recipient of the report/dashboard schedule.


2) Temporarily convert the dashboard folder to "accessible by all users". Users can then be selected for the scheduling. After the scheduling is saved with the specific users, convert the folder back to "This folder is accessible only by the following users".

Please be mindful of this other work around, as the user will still need access through one of the other sharing methods for all object contained in the report / dashboard, otherwise the following error will be received:
"The scheduled report XXXXXXX ran at Date/Time as the running user YYYYYYYY. The following error occurred:
Salesforce.com could not email the report to any of the specified recipients. Check that recipients are specified and that they have the appropriate permissions to view the report."

Using the Enhanced folder sharing model, the following should work for you:   
Grant the individual user access to the report/dashboard folder. You will then be able to email the report to just them.

Thanks for the heads up on the Chrome bug! ( I live in GC ) I'll make sure I use FF until they get it fixed.

Also, its not on the known issue list, I opened a case with premier and referenced a few other cases people in the community gave me on twitter yesterday.  Premier is saying it may not be a known issue becuase its only affecting certain servers, but they are escalating it.  I'm on NA2, will have to check with the others what they are on.

Thanks for the info, Cheryl.  I encountered the same issue today where the "to others" option wasn't popping up, and I use Chrome.  (I also questioned my brain function!)  Tried same steps in IE and it works fine.

When you click on the radio button "to me and/or others," press enter on your keyboard and it should open the options to share.
